The one convention I recall where we did not have a meeting first was
Portland. Even though we have a professional meeting planner ($38K) who was
familiar with the location & “managed” the convention (note – staff ended
up doing most of the work) & 2 members of staff went to look at the space 3
months in advance of the convention, we missed many of the issues that came
up during the convention. Mainly because the staff & professional involved
where not that familiar with how our conventions work. For example the fact
that vendors were in the basement & the ballroom was on the 2nd floor. Lack
of breakout rooms meant creative scheduling on site with rapid changes in
where various events would be based on # of folks who showed up, bad
internet and cell phone service, etc. Just lots of issues where having many
eyes might have fixed the problems before they occurred (like in St. Louis
minus the foul up in where we were sitting folks – because we had a meeting
first we had a good plan for tech, changed where breakouts / meals would
be, moved vendors upstairs by ballroom, etc.).
