[Lnc-business] LNC meetings

Vickie is correct and this has been debated and published to this list in the past. In short, I was tasked to look at alternative locations for multiple meetings by former Chair Geoff Neale. The rules for venues like libraries are very restrictive and can be expensive. In one case – for a Chicago area meeting – we were faced with limited hours, a $500 janitorial expense, additional deposits, and someone had to be a resident of the township who could “sponsor” us. That, plus there were no hotels within several miles of the library, meant we would have to rent a van service ($400 per day) or arrange car pooling. Also there was limited food facilities near the library and food and beverage was not permitted in the library. Other than those obstacles it was a great idea.
Obviously, the way to really limit costs is to hold meetings here in the DC area or at HQ. As soon as I have the finalized costs fo the last meeting I will resend out the comparison chart showing all the meeting expenses over the last several years and you will see how much we save by doing a DC area meeting vs. outside of DC.
Speaking of which I am still working with Rosen Centre on finalizing details for the Nov meeting including doing my best to limit our expenses. The last meeting at the Rosen Centre was one of our most expensive ever do to very high a/v costs. I should have something early next week.

Several years ago, Robert checked into alternative meeting places such as
public libraries and discovered that they were not cost effective.
One of the problems I see with libraries is most of them are closed on Sunday
mornings and also on holiday weekends. Also, many of them have restrictions
on bringing food in which we need to do for working lunches.
Robert is very good at keeping meeting costs down. I say let
him do his job.

While I have no problem traveling to the far corners of US of A on my dime on LNC business, we still need to be accountable to the members on how we spend their money, and I would have no problem meeting in some public library instead of a fancy hotel. But I do prefer the live person over a web or telephone meeting.
I guess we should discuss the actual staff cost to the party of these quarterly in-person meetings, and do we really need to move them about to the far corners of the world. (If they are necessary, then lets go to Hawaii or Guam for the next one! :-)
If we really want to travel to hill and dale, then we should look at the most cost effective way of the staff doing so, and also limit the staff to a maximum of 1 to 3 people. Cheaper meeting locations might be found, and if we are flying staff there, then maybe some of us who have a surplus of frequent flyer miles might be willing to donate them for staff travel?
I have also always felt that instead of meeting in vacation cities, we should meet in some of the back corners of the country, such as Detroit, where we might meet real people with real problems and learn something, and where we might also get better news media as well.
