See attached spreadsheet from Helms Briscoe (and email below), plus a 
spreadsheet on Oklahoma from Robert Kraus.

In summary:
1. Phoenix convention hotel will be $189 per night for the sleeping 
rooms. Free meeting space. $1,000 food and beverage minimum (so we'll 
probably do something like pay for your lunch and coffee to reach that 
$1,000 minimum).

2. OKC hotel will be $82 per night for sleeping rooms. Free meeting 
space. Free breakfast. No Food and beverage minimum.

HOWEVER, Robert Kraus noted to me from his vacation today in Miami that: 
"Also we do not have to hold the meeting at the Phoenix locations to see 
them. We can have the CVB send us a van to take us to the 2 locations 
under consideration and stay at the Holiday Inn & Suites Phoenix Airport 
North again for about $119-129 a night. . "

Robert,

Attached please find the completed Hotel Availability Report showing 
those hotels that have the Feb 20-21 Board Meeting dates available.  Of 
the five properties selected to receive the RFP, four of them have 
availability and have offered a proposal.

The attached report has three tabs.  Tab 1 is an overview of each 
hotel’s offer showing room rates, meeting room rental and F & B minimum. 
Tab 2 is an in-depth, detailed breakdown of each property’s proposal and 
Tab 3 shows the lone property that turned down the RFP due to no 
guestroom availability. By the way, initially the Hyatt Regency Bellevue 
also turned down the RFP but has since come back with availability due 
to being able to offer alternate meeting space.

Once you’ve had an opportunity to review each property’s proposal, 
please contact me with any questions that you may have. Each of them 
sharpened their pencil the best that they could and each of them in
