[Lnc-business] update on 2018 convention plans

Sam,
Using the figure of $20/day/person, it comes out to $48,000.   I don't think that it's worth that.  I think that this is something that we need to make sure that hotels know that we expect to be included in their bid in the future going forward.  I am not an IT guy but the hotel's cost on that for 600 people most of who are already staying at the hotel and getting internet in their rooms is not that much money.
Now this doesn't help us in Orlando or in New Orleans so much.  They have the negotiating leverage when it comes to this.  They made the concession after we agreed to hold our convention there. Our leverage is to walk, and that plays real poorly on a whole lot of levels. So we just accept this concession and move forward with this in mind.
I might be wrong, but I think that if we make it known to hotels for 2020 and forward that we expect it to be included in their bid that we can get this concession included at the lowest cost possible. It could however make the bid that comes in so astronomical that we can't afford it.
Back to answering your question, I don't think its an easy one to answer.  We need to decide what we think having free wi-fi in the hotel is worth to the delegates to pay.  On our personal mobile data plans we pay somewhere around 5-10 bucks a GB.  I think that this should be something available only to delegates that have paid to attend the convention.  In Orlando we currently have over 600 people that are donating for some sort of package.  We probably already have over 700-800 people planning to attend as delegates. I thought I heard there were over 1000 in the credentialing system, but you and I know that people throw up gobs of alternates that are not coming
Personally, I think that we need to act like we are in a field somewhere as Starchild wishes we were and handle our internet the way we would out there.  We just bring our own.
That all said, speaking personally as someone that is a member of the COC, not for the COC.  I think the most I would be willing to value the internet concession at is $5000. I just realized after I wrote this that I think Alicia sent us the 2018 contract which I have not looked at as I am trying to get the convention schedule finalized.  I think one thing we need to look at in the contract is what the hotel plans to charge us per hour for labor.  That one can be quite big. More on this later maybe...off to do some wrangling.

According to the Rosen Center it's worth 100/day/person so in the 2016 conventions case so 400 per person. So 1000 delegates. About $400,000. If we have 4 people donate $100,000 each to our FEC allowed convention find we can have internet in the main hall this year.😳
That said without having gotten any specific competing bids for the 2018 convention, but having spoken to a friend that is a professional meeting planner in the area, $90/hr seems to be the hotel rate for labor for a/v and she seemed to think that about $50/ hr was the rate for third party firms. That labor cost was what put the A/V Guys that are doing it for $40/hr ahead of the hotel and other companies in Orlando that were charging a lot more.

Alicia,

Thanks for the update.  Does the committee have an idea of the value of an internet connection for up
to 600 people?

Obviously, the Convention Oversight Committee is pretty busy right now.  Not only is it peak season for the 2016 details, but we're also hoping to wrap up the 2018 New Orleans contract before the end of the term.

I wanted to give you an update on a matter that the LNC discussed in Phoenix when we made the 2018 site selection.  I relayed to our search agent the board's interest in trying to get wi-fi in the convention hall for delegates to use.  She was able to negotiate a contract clause for 2018 which says if we use the hotel's in-house A/V provider, we'll get free wi-fi for up to 600 connections in the main hall.  That's a high-value concession that I thought you'd be pleased to hear.  We often, but not always, use the in-house A/V company.  A/V is one of the largest cost categories for our events, and it sometimes pays to shop around.  Obviously for 2018, the value of the in-house wi-fi concession will have to be factored into the consideration of any competing bids from outside vendors.
